User Portal
Your tenants, employees, or clients will have a login with a home page where they can see their current open or past closed requests or make a new request. Requests can fall into different types that have different workflows applied to them. You can even post a form on your website for members of the public to start a ticket without needing a login to the system
Smart Forms
Fully customizable forms can capture anything that you need your users to report. Use dropdown fields for selecting from a predefined list, capture text, numbers, photos, other documents, GPS coordinates, and much more. Create required or optional fields, show or hide fields depending on answers to other fields, use a step by step wizard, and run calculations on the fly
Workflow Tasks
With workflows, requests are processed in a consistent manner, following the steps that you decide as tasks assigned to the appropriate user(s). Automatic escalations depending on priority, cost, or other measure can be built in. Task recipients can be notified via email or simply login and work from their task list. Managers can see the status of every workflow
Create Your Own Fields
Standard fields like “Subject”, “Description”, “Location” are available, but you can add an unlimited number of other fields. We have over 40 field types, such as text, number, dropdown list, yes/no, multiple types of date/time fields or fields linked to another object, like a person, another request, a property, etc. Fields can be displayed or hidden depending on dynamic user access permissions and/or the status of the workflow
Attachments
Documents such as photos, pdfs, related files, and scanned images can be uploaded as attachments to a request. If using a phone, pictures can be taken directly or added from the gallery. These attachments will be linked to the request, but can also be linked to workorders created from the request, or the property or asset that the request is about, making the right information instantly available to whoever needs it
Progress Check & Analysis
The request creator, recipients, and of course management, may review the workflow status of any request that they have access to at any time. All stages, changes, additions and people performing work are logged, allowing insight into response times and highlighting difficulties at any steps in your process. Results of all requests are represented in reports, with charts and analysis to determine how your processes are working, who is doing great work, and what needs improvement
